Analisis Vendor Management System dalam Menjaga Efisiensi Procurement PT Tektonik Teknologi Transformasi

This study aims to analyze the utilization of a Vendor Management System (VMS) in maintaining procurement efficiency at PT Tektonik TeknologiTransformasi, a professional information technology service company in Jakarta serving large multinational corporate clients in the FMCG and consumer goods sectors. The study employed a descriptive qualitative method using the Plan-Do-Check-Act (PDCA) approach to map the planning, implementation, evaluation, and improvement of VMS utilization. Data were collected through observation, internal company documentation, and in-depth interviews with three key informants (Operations Director, IT Senior Consultant, and IT Junior) selected via purposive sampling. Data credibility was validated through source, technique, and time triangulation. Data were analyzed through data reduction, data display, and conclusion drawing/verification, reinforced with a Fishbone Diagram (4M category: Machine, Method, Man, Material) and 5 Whys Analysis at the Act stage. The findings show that VMS planning has been adequately designed, but its implementation is suboptimal. Of the 88 registered vendors, only 26 are fully active and verified, while 45 vendors (51%) still have document administration issues. Negotiation and quotation management are still conducted manually via WhatsApp and email, causing dual processing. Root-cause analysis indicates that the main obstacles stem from system limitations (Machine), namely the absence of automated reminders, SLA escalation, and bidding modules. The study concludes that procurement efficiency remains sub-optimal and highlights the practical managerial implication of establishing an automated VMS development roadmap coupled with strict operational compliance to minimize operational risks.
